1. We will handle, use, store, retain and destroy personal data strictly in accordance with the Code of Practice (section 122 of Part V of the Police Act 1997), the Protection of Vulnerable Groups (Scotland) Act 2007, and the UK GDPR and the Data Protection Act 2018 .
Key principles include:
Lawfulness & purpose limitation: processed only for safeguarding and related legal obligations.
Data minimisation: collect and keep only what is necessary.
Integrity & confidentiality: protect data using appropriate technical and organisational measures.
Transparency: a person can request access to data we hold about them.
Accountability: document processing of data and review this policy annually.
2. Data provided by participants is stored in password-protected, access-controlled online systems with encryption. Access is limited to named authorised individuals. We will not copy, download to personal devices, or forward data outside approved systems.
3. To comply with the UK GDPR and the 2018 Act, we do not keep personal data longer than necessary. All data we hold for participants will be destroyed after the event has taken place. We will ensure data information is destroyed securely.
